What is Journey Management?

The term ‘Journey Management’ is common language primarily associated with the Mining and Oil and Gas Sectors.  Fundamentally Journey Management is a process used by organisations to ensure their travelling workforce are safe, prior to, during and post travel. Have you ever wondered whether an employee has arrived safely at their destination, knowing they were driving alone for several hours or if they landed in that foreign country safely? Journey Management takes the guess work away from these scenarios.

WHAT TYPE OF ACTIVITIES ARE INCLUDED WITHIN A JOURNEY MANAGEMENT PLAN

In general Journey Management has consisted of monitoring employees travel arrangements via spreadsheets and forms, which doesn’t really help management to know what is happening on the ground when team members are offsite. However now the entire process is taken online to reduce administrative processing but also includes safety processes. Journey Management activities include:

  • Logging a journey – destination A, via checkpoint B through to final destination C
  • Journeys can be as long or as short as required
  • Recording modes of transport – car, private aircraft, commercial aircraft, helicopters, uber etc.
  • Details about the mode of transport – Vehicle registration number, flight number etc
  • Safety reminders are sent to the traveller at scheduled check-in posts
  • Management is immediately alerted to missed safety check-ins
  • Audit history of all logged journeys and communication
  • Travellers can alert management to incidents – just hit the incident button
  • Travel Risk Assessment – completed prior to travel and includes:
    • Driver readiness
    • Traveller readiness
    • Fatigue analysis
    • Road and weather conditions
    • Asset allocation
    • Automated travel approved/deny function – depending on travellers responses to travel risk assessment
  • Commuting employees can check-in their safe arrival at home
  • Managers can search for employees when a disaster occurs and identify who is in the affected area

Journey Management is essential for anyone with a mobile workforce and considers the safety of their travelling employees a priority. After all, it’s a risk not to take care of employees, it’s an organisation’s duty of care.

HOW DO ORGANISATIONS USE JESI – JOURNEY MANAGEMENT

Channel Ship Services (CSS), are maritime recruitment specialists who coordinate over 150 contractors dispatched from numerous locations across the globe. CSS use Journey Management to ensure their seafarers are departing and arriving safely at their various destinations. If they didn’t use Journey Management, they would be unaware whether a seafarer had left their location and the reason behind this non-departure. Act for Kids, a not-for-profit organisation whose purpose is to prevent and treat child abuse and neglect.  Worker often enter uncertain environments that can often be high risk environments. Act for Kids use Journey Management to log their road trips, sometimes they travel short distances to suburbs or longer journeys to small towns, in any case, they log their trip, duration of their appointment and any stops along the way. The minute they don’t check-in their safety, management is immediately notified. Giving employees and professionals peace of mind, that if something happens, someone will be notified.

Wallis Drilling, operate over 55 drilling rigs for the mining industry in Australia and selected international markets. With over 250 people travelling to remote and isolated environments, Wallis Drilling uses Journey Management to ensure the safe whereabouts of their lone workers. As the company runs 24 hours 7 days a week, their employees’ check-in at scheduled times throughout their shift, and anytime they are travelling. In this case, Journey Management is being used beyond travelling to ensure lone workers are safe throughout their shift.

Shamrock Civil, an engineering firm with hundreds of employees working off-site, use Journey Management for their fly-in-fly-out (FIFO) and drive-in-drive-out (DIDO) staff. With a rapidly expanding mobile workforce, management is genuinely concerned with the safety of their travellers, so Journey Management became a part of their workplace health and safety practices. Fatigue management was incorporated within the Journey Management process to ensure that employees were working and travelling safely.
